JOB TITLE: Project Manager
FLSA STATUS: Exempt
SUMMARY:
Assists the Account Executives and Sales Engineers in the sales of commercial and industrial HVAC equipment by providing general inside support. Assists with project execution / management and some outside sales functions on specific accounts. Help outside sales and customers with price quotations, ordering of equipment, technical information, equipment returns, and expediting orders. Strong emphasis on customer service.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

Collaborate with outside sales to understand customer requirements, to promote the sale of company products and to provide sales support.

Confer with customers and outside sales to assess HVAC equipment needs and to determine system requirements.

Complete take-off of HVAC equipment from building plans.

Develop equipment price quotations/proposals for customers based on customer request or information from sales engineer, present quotation to customer, and upon acceptance of quotation, provide technical document submittals as required.

Assemble technical documents for submittal package, type equipment schedules and prepare the submittal data for the order correspondent to complete.

Submit HVAC equipment orders to the manufacturers via online software or typed purchase orders. If equipment needed is in stock at any of the company’s warehouses, place a warehouse order.

Coordinate all bidder quotes with branch offices. Verify updated pricing and accuracy of quotes received from other sales teams.

Interact with customers to provide information in response to inquiries about products, costs, shipping, etc. and try to resolve any complaints as quickly and efficiently as possible.

Maintain quotation and pre-order correspondence files. Keep order correspondent updated on orders.

Develops agreements, addendums, memos, warranties and other pertinent documents.

Fosters relationships with subcontractors to develop subcontractor agreements and labor schedules.

Stays current with industry standards and procedures and attends training sessions.

Manages and inventories material and vendor lists.

QUALIFICATIONS:

Education and/or Experience – Bachelor’s Degree is preferred; or 4+ years’ experience in project management role or HVAC related field.

Language Skills – Ability to read, analyze, and interpret sales/ticket orders or other documents in English. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to interact clearly and effectively, in both written and oral communication, with supervisor, customers, co-workers, vendors, etc.

Computer Skills – To perform this job successfully, an individual should be proficient in personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, etc. This role requires a strong level of knowledge of Microsoft Office, Adobe, and BlueBeam. Other industry platforms are also utilized. Oracle Experience is a plus.
PHYSICAL DEMANDS:
While performing the duties of this job, the individual must be able to remain in a stationary position for 90 percent of the time while operating their computer and performing office work. The individual needs to occasionally move about inside the office. They constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, fax machine, and computer printer. They must be able to exchange accurate information with customers and others in the office while interacting. The employee must regularly lift and/or move up to 15 pounds, occasionally lift and/or move up to 25 pounds. The individual must be capable of reviewing their work for errors and making adjustments as necessary.
WORK ENVIRONMENT:
The noise level in the work environment is usually low to moderate. The individual frequently works in a controlled climate. The individual may occasionally visit customer job sites.
